Admin & Operations

Virtual Administrative & Back Office Support

Desert VA administrative support provides a dedicated remote assistant who handles a business’s recurring back-office work: scheduling, data entry, reporting, CRM updates, process documentation and project follow-up. Desert VA employs and manages that assistant, so you direct the work without carrying the recruitment, HR or payroll.

Delegate admin, scheduling, reporting, CRM updates and data work to a managed virtual assistant in Dubai. One monthly rate, no payroll admin.

What It Covers

What This Assistant Handles

Administrative & back office support

Calendar management, scheduling, email handling, data entry, reporting, document prep and CRM updates. It is the work that has to happen every week whatever else is going on, and the first thing to slip when it belongs to nobody in particular.

Operations & coordination support

Workflow tracking, vendor coordination, process documentation and the logistics behind meetings. Chasing runs to a schedule, not to whoever happens to remember, and each step gets written down the first time it is done.

Project coordination

Timeline tracking, task assignment, status updates and deadline follow-ups, without putting a dedicated project manager on the payroll. It suits work that spans several people, where what is missing is follow-through and not expertise.

Research & data management

Market research, competitor tracking, spreadsheet maintenance and data cleanup. Research comes back as a written summary you can act on, not a folder of open tabs, and the spreadsheets get maintained past the week somebody built them.

What It Looks Like

A Realistic Week

Daily

The queue gets worked through: records updated, data entered, email handled, and anything blocking someone else cleared first.

Weekly

Status updates circulated, deadlines chased, vendors coordinated, and the reports you rely on landing without you having to ask for them.

Ongoing

Processes written down as they are learned, so the job does not end up living entirely in one person’s head.

The exact rhythm is agreed with you during onboarding. This is the shape the work usually takes, not a fixed script or a service-level promise.

Where We Work

Working With a Dubai-Based Team

Desert VA’s own team is based in Dubai, and assistants are screened and trained for UAE and GCC businesses. Back-office work is where that shows up in small ways: the shape of the working week, the paperwork, and how hard you can reasonably push a supplier before it stops being productive. None of it has to be learned on your time.

Scope

What This Role Does Not Cover

Worth being clear up front. Knowing where a role stops is how you avoid making the wrong hire.

Out of scope
  • Work that needs your authority to approve. It gets prepared for you; the sign-off stays with you
  • Licensed accounting, legal or tax work
  • Specialist technical builds. Development, design systems and infrastructure sit outside this role
  • Anything that has to be done in person. The role is remote

Before You Decide

Is This the Right Role for You?

A good fit if

Admin is taking time from the people who should be selling, building or leading
The same recurring tasks come round every week and nobody owns them
Your records, spreadsheets or CRM have drifted out of date
The same steps run the same way each time, so they can be handed over

Probably not yet if

The tasks change completely week to week with no repeatable shape yet
The gap is a decision-maker or a specialist, not support capacity
The work depends on systems that cannot be accessed remotely
Questions About This Role

Before You Book a Call

Do I need my processes documented before an assistant starts?

No. Documenting the processes is part of the job: an assistant writes them down while learning them. That is what makes the role repeatable, and what keeps it running when someone is off. A rough walkthrough on day one is enough to start from.

Can an administrative assistant work inside our existing tools?

Yes. CRM updates, spreadsheet maintenance and platform admin are all standard parts of the role, so an assistant adopts your stack instead of asking you to change it. Basic setup and troubleshooting are covered as well. Deeper technical builds are not.

What if the amount of admin work changes month to month?

You add or reduce hours as the workload moves, without going back to renegotiate a contract. The subscription model was built that way on purpose, so a quiet quarter does not leave you paying for capacity you are not using.

Can one assistant cover admin for more than one person on my team?

Often, yes. The work is scoped by task, not by head, so one assistant can cover several people where the volume allows it. Where the volume outgrows that, you add hours. The arrangement grows with the workload instead of capping it.
