Most B2B teams will do better using both: an AI agent for the repetitive first pass, and a trained virtual assistant who owns the result and answers to you. How much each one carries is a judgment about how predictable the task is and what a mistake would cost you.
Two things make the question urgent. Hiring is hard: in ManpowerGroup’s 2026 Global Talent Shortage Survey, 72% of employers worldwide reported difficulty filling open roles. And agentic AI is heavily marketed: Reuters reported in June 2025 that Gartner counts thousands of agentic AI vendors and estimates only about 130 of them are real. If you cannot find the person, software looks like the shortcut. Whether it is depends on the task.
What we mean by an AI agent
In this guide, an AI agent is software that takes a goal, works through several steps using the tools you give it, and returns a result. For example, an agent could be asked to sort an inbox, draft replies, update CRM fields or build a prospect list.
What the forecasts say about agents
Reuters reported that Gartner forecasts more than 40% of agentic AI projects will be canceled by the end of 2027, because of escalating costs and unclear business value. Reuters also reported Gartner’s view that many vendors are “agent washing”, meaning they rebrand AI assistants and chatbots as agentic products without meaningful agentic capabilities.
Gartner analyst Anushree Verma, quoted by Reuters, said most current agentic AI projects are early-stage experiments “mostly driven by hype and are often misapplied”. The same report says Gartner expects at least 15% of day-to-day work decisions to be made autonomously through agentic AI by 2028, up from 0% in 2024, and expects 33% of enterprise software applications to include agentic AI by 2028, up from less than 1%.
Our reading: these are forecasts about projects and spending, not measurements of what a tool does on a task you have defined. They are a reason to decide what an agent is for, and to measure what it saves, before you buy one.
What a managed virtual assistant adds
In DesertVA’s managed model, the provider handles recruitment, onboarding and payroll, you direct the daily work, and the provider owns the employment relationship and steps in if issues arise, as our FAQ explains. DesertVA assistants also use AI tools in their day-to-day work, which our home page describes as how they get through the work faster.
So the assistant can be the person who runs the software and checks what it produced. For most teams that is the setup we would aim for: software for the first pass, one accountable person for the result. Our employee vs freelancer vs virtual assistant guide, written for UAE businesses, compares the hiring models side by side.
Who should handle what
This table is our recommendation, not a published benchmark. Adjust it to what a mistake costs in your business.
| Work | Suggested lead | Reasoning |
|---|---|---|
| Sorting and drafting replies for a busy inbox | AI first pass, assistant reviews | A person should read anything that goes out under your name. |
| Moving data between forms, spreadsheets and the CRM | AI or automation, assistant spot-checks | A sample check shows how often it goes wrong. |
| Prospect research and list building | Assistant using AI tools | Check that the details are current before anyone is contacted. |
| Answering customer questions that have a known answer | AI first reply, assistant takes over | Agree in advance when the handover happens. |
| Complaints and any upset customer | Assistant, with you on escalation | Tone and judgment matter most here. |
| Scheduling across several companies | Assistant | Several people’s preferences have to be reconciled. Use calendar links only where the other side will use them. |
| Following up on unanswered messages | Assistant, AI drafts the reminders | Decide which contacts get a call instead of another email. |
| Pricing, discounts and contract terms | You | These carry your accountability. |
DesertVA’s executive assistant, sales support and customer support roles each list the tasks they cover, so you can check a row against what an assistant is actually scoped to do.
Four questions that decide the split
1. Can you write the steps down? If you cannot describe the task clearly enough for someone else to repeat it, expect poor results from an agent and from an assistant. Our guide to tasks worth delegating first is a good place to start.
2. What does a mistake cost? A mislabeled file costs a minute. A wrong figure in a quote could cost a customer. Put a person between the software and anything that reaches a customer.
3. How often is there an exception? For example, if one case in twenty needs judgment, an agent with a person catching that case can work well. If one in three does, you have a people task with some automation around it.
4. Who fixes it on a Thursday evening? An agent you configured yourself comes back to you. With a managed assistant, the provider owns the employment relationship and steps in if issues arise.
Setting it up for a team of 10 to 50
Pick one process and write down what finished looks like: which fields, which format, two examples of a good result. Let the AI tools do the first pass and have the assistant review every output for the first few weeks, then move to a sample. Track the hours it saves. If after a month nobody can name the hours, stop and work out why before adding anything else.
Give each tool and each person the least access the task needs. Our FAQ describes the same approach for assistants: they work inside the accounts and tools you grant and nothing beyond them, so you set the boundary and can narrow or revoke it at any point. If you operate in the UAE, our data protection guide covers the legal questions that come with customer data.
How to tell the split is working
After a month, check four things against the log you started with.
- Hours saved: how much of your week, or your team’s, the setup took back.
- Error rate: in a sample of outputs, how many needed correcting, and whether the same mistake keeps coming back.
- Response time: how long a customer waits for a first reply, if customer messages are part of the work.
- Exceptions: how many cases the software passed to a person. A rising number suggests the process has changed or the agent is out of its depth.
If the hours are flat and the errors are not falling, look first at the written process. Go back to the first of the four questions above.
What it costs
Compare the whole cost of each option, not the price per task. For software, add the hours someone spends setting it up, checking it and correcting it to the subscription. For a managed assistant, DesertVA charges a monthly subscription quoted per role after scoping, with no published rate card. If you are in the UAE, our virtual assistant cost guide shows how to price a local hire line by line, which gives you something real to compare both against.
When neither is the right answer
If the work is high volume, fully structured and low stakes, such as tagging or renaming files, automation alone may be enough, and an assistant would be more than you need.
If the role needs someone in the room, a remote assistant cannot do it. The employee vs freelancer vs virtual assistant guide sets out when a local hire is the better fit.
If nobody on your side has time to review the first few weeks, wait until somebody does.
Where DesertVA fits
We run the managed model: we recruit, screen and evaluate candidates, you interview and choose, and the assistant begins supporting your business within days while we handle management, payroll and ongoing support. Most clients have a working assistant within two weeks, as our home page puts it. If scoping shows that a piece of software would do the job, we will tell you.
If you want to talk it through, book a free capacity assessment. You can also see what each role covers on the services page.
Frequently asked questions
Will AI replace virtual assistants?
Nobody can say for certain. Reuters’ report of Gartner’s forecast has at least 15% of day-to-day work decisions being made autonomously through agentic AI by 2028, up from 0% in 2024, so the share is rising from a low base. Plan around tasks rather than job titles, and review the split every six months.
Is an AI agent cheaper than a virtual assistant?
It depends on the whole cost, including the time spent setting up, checking and correcting the software. Add up both before you decide. The cost guide shows the method.
Can a virtual assistant use AI tools with my company data?
DesertVA assistants use AI tools in their day-to-day work. Which tools, and which data they may touch, is something to agree before day one, and our FAQ recommends granting the minimum each task needs and agreeing confidentiality terms in writing during scoping. If you operate in the UAE, the data protection guide covers the legal side for a team working outside the country.
How do I know if a process is ready for an AI first pass?
A useful test has three parts. Can you write the steps down? Do the inputs look the same each time? Would you spot a wrong output within a minute? If the answer to all three is yes, it is a good candidate.
What should I hand over first?
Start with the task that costs you the most hours and that you can write down. If you are not sure which role fits, the role quiz is short and, according to the page, needs no email.
